Start with the records, not a feature count

Build your evaluation around one representative property. Identify its suites, current tenants, signed leases, unpaid invoices, open work orders and upcoming decisions. Then ask whether the software can preserve those relationships. A tenant name without its suite, or an invoice without its lease, is not an adequate operating record.

Use a concrete acceptance exercise: enter a suite, associate the tenant and lease, create the appropriate invoice, review the ledger, and trace a maintenance request to its resolution. Include an exception, such as an invoice correction, so your evaluation is not limited to the easiest path.

A management business should also evaluate organization boundaries, staff permissions, client reporting and any separate fiduciary accounting requirements. Do not assume that a product designed for commercial owner operations supplies every capability required by a third-party management firm.

Before rollout, define who approves lease changes, invoice corrections and maintenance spending. Test the permissions with the actual roles your team intends to use. Keep your existing source records until the new workspace has been checked against them.
